Privacy notice

The Small Business Service Limited ("we") is an accountancy firm registered in Northern Ireland (company number NI059284), with its registered office at 444 Ravenhill Road, Belfast, BT6 0BU. This notice explains what personal data this website collects, why, and what your rights are under the UK General Data Protection Regulation and the Data Protection Act 2018. We are the data controller for the data described here.
What we collect, and why
The contact form. When you send us an enquiry we receive the details you type: your name, email address, phone number (optional), what you need help with and your message. We use them to reply to you and to discuss the work you have asked about. The lawful basis is our legitimate interest in responding to enquiries about our services and, where you go on to become a client, the steps needed to enter into a contract.
Server logs. Like every website, our servers record each request: the page requested, the date and time, your IP address, and the browser and operating system you are using. We use these logs to keep the site secure, to diagnose faults and to defend against abuse. The lawful basis is our legitimate interest in running a secure and reliable service.
Nothing else. This site sets no cookies, runs no analytics or advertising scripts, embeds no third-party content and serves its fonts and images from its own servers. We do not build profiles of visitors.
Where your data goes
The site and its contact form are hosted in Northern Ireland by our web provider. A contact-form enquiry is delivered as an email to our own mailbox and read by the people who will answer it. We do not sell, rent or share your details with third parties for their own purposes. We use suppliers only where needed to run the website and email, and they act on our instructions.
We will disclose personal data if the law requires it, for example to comply with a court order or a lawful request from a public authority.
How long we keep it
- Contact-form enquiries: up to 12 months after our last exchange with you. If the enquiry leads to work, the details become part of our client records and are kept for the life of that relationship and for the period our accounting and legal obligations require (normally six years).
- Server logs: 30 days, then deleted automatically.
Your rights
You have the right to ask for a copy of the personal data we hold about you, to have it corrected or deleted, to object to or restrict our use of it, and to receive it in a portable form. Where we rely on legitimate interests you may object at any time, and we will stop unless we have compelling grounds to continue. To exercise any of these rights, email info@thesmallbusinessservice.com. We will respond within one month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office (ico.org.uk), although we would welcome the chance to put things right first.
